Start your application as early as possible.
Visa appointments and processing times may vary depending on your country of residence, nationality and the Italian Embassy or Consulate handling your application.
Visa requirements depend on:
your nationality;
your country of legal residence;
the duration of your stay;
the purpose of your journey;
the countries you will visit during your trip.
Use the official Visa for Italy portal of the Italian Ministry of Foreign Affairs to check whether you need a visa and identify the documentation required in your specific case.

The information provided on the WMF website is intended as general guidance only. The competent Italian Embassy, Consulate or authorised visa application centre is the only authority that can confirm the correct procedure and documentation for your application.
Most international attendees travelling to Italy for a short professional visit, conference or trade fair may need a short-stay Schengen visa, also known as a Type C visa.
Depending on your role, travel plans and personal circumstances, a different visa purpose or category may apply.
When completing your application, always follow the instructions provided by the Italian Embassy or Consulate responsible for your country of legal residence.
WMF cannot determine which visa category applies to an individual traveller.
You should normally submit your application to the Italian Embassy, Consulate or authorised visa application centre responsible for the area in which you legally reside.
When travelling to more than one Schengen country:
apply to Italy if Italy is the main destination or the country where you will spend the longest period;
if you will spend an equal amount of time in different countries, apply to the country you will enter first.
Appointments are managed directly by the competent diplomatic or consular authority or by its authorised service provider.
A Schengen visa application can generally be submitted:
up to six months before the intended journey;
no later than 15 calendar days before departure.
The normal processing time is approximately 15 calendar days, but it may be extended to up to 45 days when further checks or additional documents are required.
Appointment availability may also affect the overall timing. For this reason, we strongly recommend beginning the procedure as soon as your participation and travel plans are confirmed.
The exact checklist varies according to the applicant’s nationality, country of residence and competent Consulate.
Applicants are generally asked to provide:
completed and signed visa application form;
valid passport;
recent passport photograph compliant with the required standards;
proof of legal residence in the country where the application is submitted, where applicable;
fingerprints or other biometric data, unless an exemption applies.
The passport should generally remain valid for at least three months after the planned departure from the Schengen Area.
return flight booking or travel itinerary;
proof of accommodation for the entire stay;
travel medical insurance valid throughout the Schengen Area;
evidence of sufficient financial means;
information about the purpose and schedule of the visit;
documents demonstrating the applicant’s intention to return to their country of residence.
Depending on the applicant’s role, useful supporting documentation may include:
WMF ticket or registration confirmation;
WMF invitation letter;
speaker participation confirmation;
exhibitor, sponsor or partner confirmation;
startup, investor or international delegation confirmation;
meeting agenda or programme of activities;
details of the event venue and dates.
The competent Consulate may request additional documents or an interview.
Submitting all required documentation does not automatically guarantee that a visa will be issued.
A request may be submitted by:
registered WMF ticket holders;
confirmed speakers or moderators;
confirmed sponsors, exhibitors and partners;
selected startups and investors;
accredited media representatives;
members of officially confirmed international delegations;
other participants whose involvement has been formally approved by the WMF team.
Purchasing a ticket or receiving an invitation letter does not guarantee visa approval.
The WMF invitation letter may confirm:
the participant’s full name and passport details;
the name, dates and location of WMF;
the participant’s role or registration status;
the professional purpose of the visit;
the expected period of participation in the event;
WMF and organiser contact details.
Unless expressly agreed in a separate written contract, the letter does not confirm that WMF will cover:
travel expenses;
accommodation;
insurance;
visa fees;
living expenses;
repatriation costs;
any other personal expense.
To request a letter, applicants must provide complete and accurate information, including:
first name and family name exactly as shown on the passport;
date and place of birth;
nationality;
country of legal residence;
passport number;
passport issue and expiry dates;
issuing authority;
residential address;
professional role and organisation;
WMF participation category;
ticket order number or participation confirmation;
intended arrival and departure dates;
Italian Embassy or Consulate where the application will be submitted;
a clear copy of the passport identification page.
The information entered in the form must exactly match the applicant’s passport and visa application.
Purchase the appropriate WMF ticket or obtain official confirmation of your participation as a speaker, partner, exhibitor, startup, investor, media representative or delegation member.
Enter all personal and travel information accurately and upload the required documents.
Each traveller must submit a separate request.
The WMF team will verify the registration or participation status and check that the submitted information is complete and consistent.
Incomplete, duplicated or inconsistent requests cannot be processed.
If the request is approved, the invitation letter will be sent to the email address indicated in the form.
Applicants are responsible for checking whether their Consulate accepts a digitally signed copy or requires additional documentation.
Before submitting your application:
check the official checklist published by your competent Consulate;
make sure that names, passport numbers and travel dates are consistent across all documents;
request your invitation letter well in advance;
avoid submitting multiple requests for the same person;
keep copies of all documents submitted;
monitor messages from the Consulate or visa application centre;
promptly provide any additional documentation requested by the authorities;
carry supporting travel documents with you when entering the Schengen Area.
Holding a valid visa does not automatically guarantee entry. Border authorities may request evidence concerning the purpose of the visit, accommodation, financial means, insurance and return travel.
